Tag categories and templates

Learn about tagging categories and templates for each one.

After you’ve understood what a Taxonomy is and how it helps filter, search, and compare elements in TheyDo, let’s dive into the different tag categories you can use. For every category, we’ll also highlight a best practice of tag categories you can use. To set this up yourself, use our Taxonomy template to create your own.

Owners 

Owners help everyone keep track of who’s responsible for what. That ensures no part of your customer experience is overlooked. You can assign owners to journey boards, journeys, opportunities, and solutions. You can only assign one owner per element. You can tag any admin or contributor as an owner, so there is no need to set this up manually.

Tip: You can add any TheyDo user as an owner. Missing someone? Go to preferences -> Users to invite someone to your workspace.

Statuses 

Statuses help you to keep track of the development status of your journeys, opportunities, and solutions. You can create separate status tags for each of these. You can only use one status per element.

To get started, we recommend:

  • Journey statuses: Unmapped, Planned, Researching, Live, Future.
  • Opportunity statuses: Concept, Planned, In Progress, Solved, Rejected.
  • Solution statuses: Concept, Validated, Planned, In Development, Implement, Pushed to Jira, Rejected.

Tip: Enable our Jira or Azure DevOps integration to sync your Jira or DevOps statuses to solutions as well.

Groups 

Groups help to filter and assign elements to a specific team, division, or business unit. You can apply groups to journeys, solutions, and opportunities. You can tag multiple groups at the same time.

To get started, we recommend:

  • Journey groups: Marketing, Sales, Product, DevOps, Customer Success, BI, Support, Finance, Operations, HR.
  • Opportunity groups: Marketing, Sales, Product, DevOps, Customer Success, BI, Support, Finance, Operations, HR.
  • Solution groups: Marketing, Sales, Product, DevOps, Customer Success, BI, Support, Finance, Operations, HR.

Types 

Types help you to distinguish between different categories of journeys, solutions, or opportunities. For any such element, you can only assign a single type at a time. Have a look at the picture above for our best practice on types for the different elements in TheyDo.

To get started, we recommend:

  • Journey types: Micro Journey, Macro Journey, Service Blueprint, Roadmap, Story Map.
  • Opportunity types: Expected, Performance, Delighter.
  • Solution types: Epic, Story, Process, Content, Experiment, Playbook.

Tags

Tags can be used across all elements in TheyDo. You can use them for journeys, opportunities and solutions, but also for personas and even journey steps. You can apply multiple tags to any of these elements. You can create as many tag categories as you need, so use them to cover anything not yet included by owners, statuses, groups, or types.

To get started, here are some options that might be relevant to include:

  • Channels: Web, app, phone, in-store, invoice, etc.
  • Countries: US, Canada, Japan, etc.
  • Brands: Brand A, Brand B, etc.
  • Offerings: Premium, budget, etc.
  • Objectives: Increase recurring revenue, Improve customer experience, etc.
  • Key Results: Monthly subs above 85%, Churn below  1%, etc.
  • Roadmap: Q1 2023, Q2 2023, etc.
  • Strategic horizon: H1, H2, H3.

Tip: Use the format ‘[Category]:[Tag option]’ when you create tags, and use a different color and emoticon for every category. See the visual above as an example. That way, you can include many tag categories and options while still keeping them easy to search and distinguish.
